Reconciling Business Checking Acct (CK REC BUS)

Note that making changes to existing records will be lost if not coordinated with Ray.  Therefore do not make changes to records in this CK REC BUS file except during reconciling.  However, before starting to reconcile, Email Ray by precisely copying and pasting the following message to him:

 

        “Please set up CK REC BUS and CK Rec TRUST for me to reconcile and confirm that I may begin. 

         When I am finished reconciling, I will email you so you can preserve my changes.

         When I do that, please confirm to me that you have saved my changes.”

 

Obtain a printed Bank Statement (online, Select arrow just barely left of “CK REC BUS”,

Select “View Statements”, select statement by Date, download PDF, open downloaded file, print a copy).

Save printed Bank Statement in an appropriate folder for future reference.

 

All Scripts in all steps below can be run without harm if they are Canceled or Continued with no editing.

Step 1:  Open FM “CK REC BUS” using your extended privilege user name and password, make backup copy of file by using top of screen menu “File’ then select “Save a copy as…”. In FM “CK REC BUS” master file, run or continue Script 20.

 

Step 2:  Read message 2.  “OK”; “Continue”; or “Cancel” and make backup copy of file per Step 1.

 

 

Step 3:  After “OK”, “Continue” from prior step, read Message 3.  “OK”; “Continue”; or “Cancel”and correct file using multiple possible methods (such as finding an old copy that may not be corrupted and fix any records that do not match; import or export records; find old months’ records that pass and re-reconcile later months in sequence) until it passes. Repeat all above Steps.

 

Step 4:  After “OK”, “Continue” from prior step, read Message 4.  (Click each ‘6’ field or click on a record then click ‘6’ in green box in title row to add ‘6’ and omit record for expediency.)  “OK”; comply. 

If there are Deposit(s) not credited, investigate!

If there are duplicate deposit amounts, use Date to determine which one to add the ‘6’.

If there are deposits on the bank statement that do not appear on “CK REC BUS” file, they must be added to the FM file and          investigated to see if other consequences need fixed such as corresponding credits given to a client on ML.

If there are old dated deposit(s) in the FM file that do not appear on the bank statement, investigate and correct error(s).

Seeing on-line deposit details including copies of all deposited checks may be helpful.

 

Step 5:  After using button “4 Find 6 with deposit amount” from prior step, read Message 5. “OK” go to next Step; or if necessary, correct “CK REC BUS” records with errors or by adding entries from bank statement that are missing on “Ck Rec Trust” file; then click ‘Find 6 with deposit amount’ until it passes, then go to next step.

 

Step 6:  After using button ‘6 Check Nos to reconcile’ from prior step, read Message 6.  (Click each ‘6’ field or click on a record then click ‘6’ in green box in title row to add ‘6’ and omit record for expediency.)  “OK”; comply.  If there are duplicate check amounts, use Check Number to determine which one to add the ‘6’. If there are checks on the bank statement that do not appear on “CK REC BUS” file, they must be added to the file and investigated to see if there are other consequences such as fraud or bank error. If check amounts for a given check number are different from Bank Statement to CK REC BUS, use online banking to view the check and correct errors on CK REC BUS.  If check numbers on CK REC BUS are scrambled or erred, use online banking to view checks and correct errors on CK REC BUS.

 

Step 7:  After using button ‘8 Other Debits to reconcile’ from prior step, read Message 7.  (Click each ‘6’ field or click on a record then click ‘6’ in green box in title row to add ‘6’ and omit record for expediency.)  “OK”; comply.  If there are duplicate Other Debit amounts, use Date to determine which one to add the ‘6’. If there are Other Debits on the bank statement that do not appear on “CK REC BUS” file, they must be added to the file and investigated to see if there are other consequences such as fraud or bank error.

 

 

Step 8:  After using button ‘Find 6 Withdrawals/Debits” from prior step, read Message 8.  “OK” go to next Step; or if necessary, correct file and click ‘Find 6 Withdrawals/Debits’ until it passes, then go to next step.

 

Step 9:  After using button ‘Find X & 6’ from prior step, read Message 9.

              Don’t forget to record or memorize the last record’s ‘X/number’ that you see. 

“OK” go to next Step; or if necessary, correct file and click ’10 Find X & 6′ until it passes, then go to next step.

 

Step 10: After using button ‘Find 6’s change to X…’ from prior step, read Message 10.  “OK”; replace the “6” with blue background with the ‘X/number’ per above Script note; “Continue” which replaces all 6’s with that. Congratulations you are done. In the first quarter of the new year before “CK REC BUS” is split, X13 is for the new Jan, then X14 etc. When “CK REC BUS” is split, the X13, X14 etc. will be replaced with X1, X2 etc.

 

Step 11

Note: making changes above could easily be lost. 

Therefore upon completing reconciling,

     (1) Immediately save a copy to your computer desktop for backup. 

          Use “File” menu, select “Save a copy as…”; Save as: “CK REC BUS.fp7” to your “Desktop;

          replace old copy if there is one there from a prior month:

           

     (2) Immediately Email Ray by precisely copying and pasting the following message to him:

 

        “I am finished reconciling my version of CK REC BUS,

        please preserve my changes and confirm to me that you have done so.”
